Name the process being requested

Specify the actual treatment requirement and the surface or functional outcome to be assessed. A purchase line saying polish and passivate may leave responsibilities unclear if it does not define the intended process and acceptance evidence. Preserve the material, fabricated condition and affected surfaces.
A hypothetical drawing clarification
Imagine a fictional precision part whose drawing controls a mating dimension and requests a named surface treatment. One quotation offers electropolishing; another offers chemical passivation. A glossy product photograph cannot resolve whether either quotation matches the drawing, or how the controlled dimension is evaluated after treatment.
Add rows for process identity, treated surfaces, final dimensional stage and required surface evidence. Ask the supplier to reconcile the quotation with those requirements. The example prescribes no bath chemistry, material-removal amount or HM finish specification.
Retain the final surface basis
The final record should identify the treatment actually performed and when the relevant checks occurred. Where the design requires dimensions after finishing, a pre-treatment measurement should not silently stand in for that final state.
If a service replacement changes the treatment, review the affected interfaces and acceptance basis instead of assuming that a similar appearance establishes equivalence.
