Colour Proofs and Production Prints: Preserve the Simulation Boundary

State which output condition a colour proof simulates before using it as evidence for the production print.

A proof is an observation through a stated reproduction route. Its value depends on how that route represents the intended production condition.

Identify the simulated condition

A soft proof uses colour profiles to simulate an output appearance on a monitor. Its reliability depends on the monitor, applicable profiles and viewing conditions. The simulated condition and the actual production print are related evidence, not identical physical objects. Primary reference: Adobe: soft proofing and output simulation.

A composite print from another device is likewise a proof made through that device's route. Identify what it is intended to demonstrate: layout, wording, a colour-managed appearance or another defined question. Do not let an unstated proof purpose expand into approval of every production attribute.

Compare a fictional approval route

Imagine a buyer approves a label's wording and positions using a desktop proof, while the production job uses a different printer and substrate. The layout decision can remain useful, but the desktop output does not automatically establish the production colour, ink behaviour or substrate appearance.

This scenario assigns no accuracy class to either route and gives no numerical colour tolerance. It exposes the boundary of the approval. If a colour simulation is intended, its profile and viewing basis must be retained so the result can be interpreted.

Write the proof's scope alongside approval

Retain the proof file identity, output or simulation route and the attributes actually assessed. Identify which remaining requirements need production-specific evidence. A signature on an unlabelled preview can otherwise leave the receiver uncertain whether it approves wording only or physical appearance as well.

When the production route changes, compare the relevant appearance evidence under the agreed method. Preserve the earlier proof rather than claiming it represents an output condition it never simulated. The useful record shows what the proof supports, why it supports that question and where actual production observations still carry the decision.
