Name the operation before the amount

A maintenance document should identify the point, grease and operation. A bare entry of 10 g leaves a later reader unsure whether it concerns an empty assembly, a top-up or replacement of existing lubricant. Preserve the applicable procedure reference rather than turning an isolated number into a universal instruction.
A hypothetical quantity reconciliation
Consider a fictional handover table with an initial-fill entry of 10 g and a separate maintenance instruction naming a 2 g replenishment under stated conditions. The numbers do not necessarily conflict because the operations differ. Copying 10 g into every maintenance event would erase that distinction. Conversely, 2 g cannot be assumed to establish the correct initial condition of a rebuilt assembly.
Create columns for operation, assembly state, product identity, amount basis and instruction revision. The figures are deliberately invented teaching entries, not recommended doses or values used by HM. Actual quantities and intervals require the identified application guidance.
Make future records interpretable
Record what was performed, rather than only the quantity issued from stores. If a lubricant product or assembly changes, confirm whether the previous operation-specific basis still applies. Keep compatibility and transition assessment separate from the amount record.
Ask how inaccessible or factory-lubricated components are represented in the maintenance scope; do not assume every bearing has a refill point. The completed record should let a responsible technician find the actual instruction for the actual task. It supports controlled planning without prescribing a service interval or inviting an improvised refill based on a generic article.
