Machine HMI and Manual Language: Agree the Translation Scope

List the operator-interface, label and manual texts that need an agreed language version, with technical meaning and approval ownership kept traceable.

Identify the Users and the Requested Language Scope

Ask the buyer team which roles will use the interface and which language versions are required. Distinguish operators, maintenance staff and document reviewers rather than assuming one requested language serves every task. Confirm which translations, if any, the supplier can include in the selected scope.

Keep language availability as a quotation question. An existing demonstration screen or a translated brochure does not establish that the delivered HMI, labels and manuals will all use that language. Record the proposed deliverables before approving a general statement that local-language support is required.

Inventory Interface Text, Labels and Documents Separately

Create separate references for HMI screens, alarm messages, physical labels, operating instructions and maintenance documents. Identify the source revision for each. A manual translation should not silently cover only some pages while later documents retain an unidentified revision.

Ask how changes will be reflected across the supplied language versions. Where a third-party component has its own document, record whether that document is included as supplied or within an agreed translation task. Do not presume editable files, software language switching or translation rights that have not been confirmed.

Preserve Technical Meaning and Reference Relationships

Keep units, equipment identifiers, selected function names and drawing references connected to their approved source. Ask the technical reviewer to check that the translated text refers to the actual delivered function. A fluent sentence alone does not establish that an operator will identify the correct control or task.

Where screen space or a physical label limits text, record the proposed wording and its reference. Do not authorize abbreviations solely because they fit. Agree how the technical and language reviewers will resolve a disputed term before the text becomes part of the delivered interface or instruction.

Agree Approval and Revision Ownership

Assign responsibility for the source text, technical review, language review and final delivery. Keep unresolved terms visible with the task they affect. Ask what evidence will show that the reviewed version was installed or included in the handover package.

If the machine scope changes, identify the language items affected by that change. Retain earlier approval history and the current applicability reference. Check that each requested deliverable has a traceable accepted version applicable to the delivered configuration.

Use a Language Deliverables Schedule

Prepare the schedule alongside the quotation and training plan. Complete a separate copy for each interface or document group so partial translation and missing revisions remain visible. The blank entries below contain no claim of offered language capability.
