Define the Tasks and the People Who Need Them
A useful training scope says more than operator training included. Identify the people who will set up the machine, run the approved format, check first-off packs, perform permitted cleaning tasks and request maintenance support. These responsibilities may belong to different roles.
List the tasks the supplier is expected to demonstrate and the records the buyer needs at handover. H M Pharma Machines describes operator orientation and project-specific documentation within its agreed support scope. Confirm the actual purchased activities, language, materials and attendance arrangements before commissioning.
Train on the Delivered Configuration and Approved Samples
Use the supplied machine, current instructions and the formats included in the training scope. A generic demonstration on another arrangement can explain a principle but may not cover the controls, tooling or workflow the operators will use.
Identify the bottle, closure, label or product samples for each demonstrated task. Where a required sample is unavailable, record the limitation and the remaining action. Keep optional equipment functions explicit. The training record should not suggest that the team practiced a format or operation that was only discussed.
Include Documented Setup and First-Off Review
Ask the supplier to demonstrate the approved setup procedure and explain which settings, parts and instructions identify the selected format. Operators should know where to find the authorized reference rather than depend on an unexplained setting remembered from the visit.
Link setup to the buyer's first-off checks. Depending on the operation, these can concern the filled pack, closure or label placement using the agreed method. Record who reviews the result and who releases production. Training in a machine function is separate from the buyer's approval of product quality.
Clarify Interruption, Alarm and Escalation Tasks
Identify which normal interruptions and machine messages will be covered, using the supplied instructions. Ask what information an operator should record before contacting the designated supervisor or maintenance team. Relevant evidence can include the message, sequence, affected format and recent change.
Keep the boundary between operator actions and maintenance actions clear. This guide does not provide machine-specific recovery steps. Operators must follow the approved manual and site procedures, and training should reinforce the requirements for guarding and interlocks rather than normalize shortcuts around them.
Use a Task-and-Evidence Handover Record
A task matrix helps the buyer see what was demonstrated and what still needs attention. Adapt these blank fields to the purchased training scope. They are not a claim that any person has completed training or has been certified.
| Handover field | Information to enter |
|---|---|
| Task and role | Operation and assigned person or team |
| Machine and format | Delivered configuration and sample reference |
| Instruction | Manual, drawing or procedure revision |
| Supplier demonstration | Task covered and identified record |
| Observed practice | Agreed observation and reviewer |
| Open action | Missing sample, clarification or follow-up |
| Handover owner | Buyer responsibility and closure reference |
Hand Over the References Operators Will Use
Check that the applicable operating, cleaning, changeover and maintenance information is available in the agreed format. Identify the current recipes or setup records where included, and retain approved revisions with the machine documentation.
Explain the service request route and the evidence needed to identify an issue. If a drawing, instruction or task remains incomplete, keep it on the open-action list with an owner. A signed attendance sheet can record who attended, but it does not replace the actual scope and task evidence.
Keep Training Current When the Machine or Format Changes
A new container, different product path or revised control function can change the tasks operators need to perform. Review the effect on instructions, format records and role responsibilities before treating the earlier training as sufficient for the new arrangement.
The buyer determines the appropriate ongoing training and assessment within its operating system. Supplier assistance can be requested for the changed scope. Keep the revised handover record together with the technical change so a later team can understand which configuration the demonstration and instructions cover.
Buyer Questions
Does a training attendance sheet prove operating competence?
It records attendance. Define the required tasks, observed practice and buyer assessment separately; supplier training is not an automatic operator certification.
Should every format be assumed covered?
No. Identify the formats and samples included in the agreed training scope, and record unavailable samples or tasks as open actions.
Does training establish the buyer's process validation?
No. Training, equipment demonstration and process acceptance have distinct responsibilities and evidence requirements.
