
Name the Decision the Visit Should Support
A pre-sale demonstration can help a buyer understand a machine arrangement or explore whether further sample review is worthwhile. An order FAT addresses the agreed acceptance scope of specifically ordered equipment. Before arranging a visit, state which of these decisions is being requested.
The vial-washer product page presents a reference demonstration and asks buyers to discuss their actual format. Observing that reference does not establish acceptance of an unreviewed project configuration. Keep the enquiry purpose distinct from a later agreed acceptance activity, even when both involve watching machinery operate.
Identify the Configuration Available to Observe
Ask which machine and arrangement can be reviewed, and how it differs from the proposed or ordered scope. Relevant differences may concern container handling, selected controls or process interfaces. Keep those differences as written observation limits rather than interpreting resemblance as confirmation.
Availability of a demonstration machine, visit slot or requested configuration requires direct confirmation. Do not plan travel from a catalogue image alone. For an order-specific visit, identify the machine and document revisions the agreed review concerns, so participants know whether the evidence represents the configuration under discussion.
Agree Samples and Demonstration Limits
Identify which buyer samples are requested and what question they are intended to answer. Confirm their suitability for the proposed activity with the supplier and relevant product owners. A demonstration using a different sample may still explain a sequence, but its limits must remain clear.
For an agreed FAT, use the actual acceptance plan and methods. Do not replace them with an improvised demonstration just because the machine is available that day. Keep any unavailable sample or unreviewed objective on the follow-up list, with a specific reference to the decision it prevents.
Decide What Evidence May Be Captured
Confirm which photographs, recordings, observations or test records may be obtained and shared. Identify the responsible owner and any restrictions before the visit. Permission to observe equipment does not automatically settle permission to record unrelated production information.
Separate a visitor's notes from records created under an agreed test method. Label each with the configuration and purpose it represents. The documentation page defines test records through the purchased scope; a pre-sale discussion therefore should not be described as providing the complete order acceptance package unless that activity has specifically been agreed.

Complete this blank sheet before requesting the arrangement. Use separate entries if an exploratory demonstration and an order acceptance review are being planned.

Retain the Outcome in Its Correct Context
After the visit, record which questions were answered and the evidence supporting them. An enquiry-stage observation may lead to a more focused trial request or an updated requirement; it need not be presented as a finished acceptance result. Name the next owner for each unanswered question.
