
Identify the Machine Being Used as a Reference
Start with the actual configuration used for comparison, including its drawing, option and document revisions. A model name alone does not state every supplied function or interface. If the reference machine was changed after installation, record the delivered and later accepted configuration separately.
Explain whether the second purchase is intended to reproduce a known duty or serve a different project. Keep observed performance associated with the original conditions. Do not present another plant purchase as a repeat order whose suitability and output have already been established.
Compare Products, Packs and Operating Duty per Plant
Prepare a plant-by-plant list of product references, container and closure combinations, required handling and intended operating pattern. Mark which rows truly share an approved reference and which only appear similar. Keep actual supplier revisions attached to the pack definitions.
If a formulation, batch mix or pack source differs, ask what evidence the supplier needs to assess that difference. Retain the relevant original trial history as context, not automatic approval of the new condition. The comparison should identify the question before selecting equipment or copying a format kit.
Keep Site Conditions and Interfaces Explicit
Compare the utilities, connection locations, receiving equipment, room conditions and installation route using each plant drawing. Ask which data is confirmed and which is still a proposed site provision. Two plants ordering the same machine can still have different ownership boundaries at its connections.
Keep measurements and applicable supplier requirements with the particular plant. Do not copy a service capacity or ambient assumption merely because it was convenient in the first enquiry. Record a difference as a question for the responsible site and supplier team rather than inventing a design adjustment.
Separate Common Deliverables from Local Responsibilities
Identify the documents and functions proposed as common, then list site-specific manuals, language requirements, training roles or support arrangements requiring confirmation. Ask how the final delivered identification will distinguish the two machines and their applicable records.
Assign each open item to the relevant plant and reviewer. A common purchasing team can coordinate the review without approving local readiness on another team’s behalf. Retain written confirmation for any requirement that will be reused, together with the conditions under which that confirmation applies.
Use a Common-versus-Site-Specific Enquiry Matrix
Complete a separate copy for each requirement before issuing the second enquiry. Attach the reference-plant and proposed-plant information to the corresponding fields, leaving supplier confirmation open until reviewed. This organizes a new purchase while preserving each installed-machine record.

Local readiness, records and interfaces still need a responsible reviewer even when one purchasing team coordinates the project.
