Adding a New Machine to an Existing Line: Prepare a Retrofit Evidence Pack

Describe the actual installed line rather than a generic catalog model

Adding a new machine to an existing line begins with the line that is actually installed. Collect the asset identities, current operating route and the proposed new function. A catalog description of an older model may help identify it, but it should not replace the as-installed evidence needed to discuss a new boundary.

Explain why the module is being added and which existing operation it will replace or connect to. Keep that requested change separate from assumptions about the old equipment’s capabilities. The supplier should be able to tell where the retrofit enquiry begins, where it ends and which assets remain outside its supplied scope.

Capture current transfers, controls and available drawings

Record the current transfers and the available drawings using their revisions. Photographs can help show the arrangement when they are collected through the site’s permitted access process, but a photograph alone may not provide a reliable dimension or explain a control function. Label the evidence by purpose.

The transfer and buffer guide provides useful questions about movement between machines. Apply those questions to the installed route rather than draw a new connection from appearance alone. Include the actual container/pack reference that the proposed boundary will handle.

Mark verified measurements versus assumptions

Mark measurements as verified, reported or pending. State who took them and which installed condition they describe. Keep a supplier drawing value separate from a field observation if they disagree. The buyer can then request clarification without silently choosing whichever value makes the new module appear easiest to fit.

Do the same for interface descriptions. A known signal reference and a statement that “the machines already communicate” are different kinds of evidence. Record the available reference, who owns the existing system and the questions requiring competent review. This guide does not prescribe wiring changes or bypasses.

An evidence list should also identify where the proposed new module changes the existing route. Mark the affected boundaries rather than request photographs of the entire plant without purpose. Ask the responsible reviewer which reference is needed for each boundary and how it can be obtained through the site’s permitted process.

Retain disagreement as a named question. If an older drawing and a current observation differ, give both references to the person who can resolve the baseline. Selecting one without recording the reason can cause later reviewers to treat an unverified retrofit assumption as a confirmed installed condition.

Define responsibilities for existing equipment changes

Name the owner of each proposed change to existing equipment. It may be the original supplier, a project integrator or an appropriately authorized site team; do not assume the new machine supplier owns all of those tasks. Ask the returned offer to identify its supplied and excluded work.

Once the scope is reviewed, retain the supplier’s assumptions and the references it used. If the installed line changes before the new module arrives, compare that change with the enquiry baseline. A useful retrofit pack makes the discussion traceable; it does not establish that a connection has been designed, commissioned or accepted.

Is the old machine’s catalog page enough for a retrofit?

It can support identification, but the enquiry should describe the installed configuration and available current evidence. Site changes, transfers and interfaces may differ from a generic catalog arrangement.

Who must modify the existing equipment?

Assign that responsibility in the actual project scope. Do not infer that the supplier of the new module also owns changes to another supplier’s machine, site controls or connected-line acceptance.

What if a required interface drawing is missing?

Mark it as missing, identify who can supply or confirm the information and state which decision depends on it. Keep reported information separate from verified evidence instead of presenting assumptions as a completed design.
